New-hire week is 14 logins, SSO, Notion, Jira, and zero humans. What HR can run in Slack or Teams in week one so people meet teammates without a speech.
Get Started
Monday looks like a treasure map. Every box is a login.
9:00 laptop. 9:20 SSO. 9:45 MFA that fails twice. 10:15 HRIS, emergency contact, a PDF nobody has opened since 2023. 10:40 Notion: 47 pages, three still named after the person who left. 11:10 Jira. Watch this board. 11:40 GitHub. 12:00 "grab lunch, we are remote." 1:00 Slack. You have been added to 19 channels. Mute the loud ones. 2:15 "your buddy is in back-to-backs, try Thursday."
Friday: every ticket is green. 14 logins. The new person has spoken to IT, once, about the VPN. They have not spoken to a human who will still be here in October.
That is not onboarding. That is a scavenger hunt. The prize is access. The people were never on the map.
People Ops closed the tickets the spreadsheet asked for. Laptop. Accounts. Policies. A welcome in Slack that says "so excited to have you!!" from three people who then go dark.
Maya can find the expense policy. She cannot find a person.
Managers think HR owns the welcome. HR thinks the manager owns the intro. The buddy is drowning. Nobody owns the part where Maya becomes someone you would actually ping.
You can finish Workday and still eat lunch over a black laptop, refreshing Slack, hoping for a message that is not a system bot.
She knows the wiki. She does not know who owns the deploy window. She knows #general. She does not know Jules in product. Jules does not know she exists.
Week one is a lesson. She learns this company is software. She learns the fastest way to look competent is to not bother people. You will call this ramping. She will call it the week nobody had time. In an office she might still catch someone at the kettle. Remote, the kettle is a channel she was told to mute.
A burst of emoji in #new-hires is not a meeting. It is proof you posted. Then the channel goes quiet and Maya is back in the hunt: Okta, Confluence, the 1Password vault, the Figma file named FINAL_v7.
Clues. More clues. No humans.
You assigned a buddy. Good. The buddy has eight meetings and a "let's find time next week" that lands on day nine. By then Maya has learned to solve everything in Notion and to never ping anyone.
A buddy is a person. If week one depends on their free slot, you built another login with a face.
Do not save "meet the team" for Friday, after the SSO ticket closes. Friday is when she already believes this place is a pile of apps.
You also do not need a speech. A 30-person welcome call is a stage. This is a map problem. She has not met anyone because nobody put a person on the checklist.
She needs to be in the same Slack or Microsoft Teams channel the team already uses, doing a small thing everyone else is also doing. No host. No intro speech.
1. Can she join without being introduced?
2. Can it finish in about five minutes, between Okta and Jira?
3. Can a quiet person participate without a monologue?
If the plan fails that test, you are still running a tool hunt. You just branded the last item as culture.
Do not wait until they "settle in." Settling in is how they become the quiet name in #engineering.
Drop a short quiz in a channel people already live in. Movies. Food. Sports. Not "what are our six values."
She answers from the same desk where she just reset MFA. She can be wrong. Being wrong is how her name shows up in the thread. Nobody remembers a perfect score. They remember the fight about whether a hot dog is a sandwich, and the GIF someone dropped after.
TryTrivia starts free. Paid comes in for bigger channels or custom quizzes. Keep it a game. Do not turn day two into a brand exam.
Leadle put new joiners in the same quizzes as everyone else. Same space. Same time. That was the gel.
The tool hunt already made her a guest. Do not add a NEW HIRE SPOTLIGHT slide.
Know Your Team works like this. People answer a few light questions in Slack or Teams. Later you run a quiz from those answers. The group tries to match the person to the pizza order or the weird hobby.
Maya is in the deck as a peer. She learns Jules used to bake at 4am. Jules learns Maya ran a food truck one summer. She typed when she was ready. Then the team played.
Do not make this a day-one interrogation while she is still hunting for the VPN. Let her answer. Then play later in the week.
A pairing is a 1:1, not a gauntlet. VirtualCoffee picks two people from a channel and DMs them to grab coffee, take a walk, or hop on a short call. It runs in Slack and Microsoft Teams. Teams pairing does not have calendar integration. That puts a human on the map. It is still not a speech.
Keep it optional. A forced 1:1 with a stranger on day one is just another calendar hold in the hunt.
- Calling IT close-out "onboarding complete."
- Nineteen channels on day one and zero humans.
- Saving intros for Friday, or for the all-hands.
- A 30-person welcome Zoom where the new person goes first.
- A buddy plan with no time on the buddy's calendar.
If a manager says "let's wait until she's ramped," they are describing how Maya becomes furniture in the channel.
The IT list will get done. That is not the same as Maya meeting anyone. This week we'll drop a short quiz in the team channel and run a Know Your Team round. She can play without a speech. She can take an optional VirtualCoffee 1:1 in Slack or Teams (Teams has no calendar hold). We are not saving intros for Friday, and we are not putting her on a welcome call to narrate her resume.
If they still want a buddy coffee, great. Book it. Do not make the whole social plan wait on that one slot.
One channel. One 5-minute game while the SSO ticket is still open. Watch who talks in the thread. That is the first human clue.
Add TryTrivia in Slack or Microsoft Teams. Starts free. If you want a walkthrough, grab time here.
You are not trying to add a fifteenth login. You are trying to stop week one from being a hunt where the treasure is software and the people never appear.
That is onboarding. The scavenger hunt is not.
